What your production crew should plan for

Domitille speaks standing, moving across the stage, with video sequences that carry sound. The sound quality of those sequences is part of the content. Three configurations exist depending on the audience: over 250 people, 50 to 250, under 50. The items below cover the essentials, the configuration by configuration detail is in the PDF.

Sound

  • Headset microphone, hands free
  • Handheld microphone for questions from the room
  • Video sound through the room PA, never through the laptop speakers

Video

  • 16:9 projection, projector or LED screen
  • Accessible HDMI input, plus a 3.5 mm audio jack
  • Confidence monitor, or Presenter view feed if the laptop sits in the control booth

Stage

  • Clear stage, no lectern in the center
  • Presentation remote with pointer, tested beforehand
  • Face lit, room lights down during the videos
  • Theater or half circle seating preferred
Arrival on site
90 minutes before the session starts.
Technical check
30 minutes, clear stage, with video sound and microphone. This check is not optional.
Day of contact
One single contact, reachable, identified in advance. This is the point that prevents the most trouble.

The detail of the three configurations, the room layout and the minimum checklist are in the Technical requirements document, which can be forwarded as it is to your supplier. Any venue constraint can be discussed upfront: flagged in time, it creates no difficulty.

Organizing questions

The questions event agencies and communication teams ask before holding a date.

How far in advance should a date be booked?
Dates are usually booked three to nine months ahead, with shorter openings depending on the calendar. A date is held as soon as the brief is submitted, for the time it takes to run the scoping call.
In which languages is the keynote delivered?
In English and in French, with no translation and no interpreter. Domitille speaks to international audiences and adapts her stories to the room she is in.
What audience size does the keynote work for?
From an executive committee around a table up to 1,500 people in plenary. Format, pace and examples change with the size and the seniority of the audience, and that is decided during the scoping call.
What does the technical crew need to plan for?
A headset microphone, 16:9 projection with video sound running through the room PA, a clear stage with no lectern and a confidence monitor. Plan for arrival 90 minutes before the session and a 30 minute technical check on a clear stage, which is not optional. The Technical requirements document details three configurations by audience size and can be forwarded as it is to your production crew.
Which materials should be given to internal communications?
Three biographies of 50, 110 and 250 words, the stage introduction script in a 25 or 60 second version, the keynote brochure and the high resolution visuals. These materials are approved and aligned with what is said on stage, and can be used as they are.
Can the keynote be photographed, recorded or streamed?
Photography during the session is allowed. Video recording requires prior written agreement specifying the use and the broadcast period. Live streaming or remote delivery must be flagged in the brief, as it changes how the session is built. Presentation slides are not distributed after the event, they make no sense without the story that goes with them.
How do we get a proposal and a fee?
The fee depends on format, length, language, location and the degree of customization. Requests start with a brief, followed by a personal reply within 48 hours and then a scoping call.
